How Automated Email Marketing Works

Your email automation workflow connects several powerful tools in the platform to seamlessly find prospects, generate content, and track engagement.

Step 1: Build Your Audience

Before sending emails, you need an audience. Lead Lists let you build targeted lists of potential clients or contacts based on specific criteria. This is perfect for sales prospecting, campaign targeting, or agency business development.

  1. 1

    Open the Lead List Builder

Navigate to Lead Lists in the main menu and click + New Lead List. Give your list a descriptive name (e.g., "Mid-Size Tech Companies in Texas").

  2. 2

    Define your target criteria

Use the available filters to narrow down your ideal prospects.

    FilterExamples
    IndustryHealthcare, Manufacturing, Technology
    Company size1–10 employees, 50–200 employees, 500+
    LocationCity, state, region, country
Job title / RoleCEO, HR Director, Marketing Manager
    Revenue rangeUnder $1M, $1M–$10M, $10M+
  3. 3

    Preview and build

Click Preview Results to see how many contacts match your criteria. Adjust your filters until you have a manageable list size, then click Build List.

You can easily export your completed Lead List as a CSV file by opening the list and clicking Export in the top-right corner.

Step 2: Configure RogMail

RogMail is your built-in sending layer. It handles list management, automated scheduling, one-time campaigns, and compliance (like CAN-SPAM and GDPR).

Before sending your first AI-generated newsletter, you must configure your sender settings.

  1. 1

    Authenticate your domain

Go to RogMail → Settings → Domain Authentication. Enter your sending domain (e.g., youragency.com). We will provide DNS records for you to add to your domain registrar. This step is critical to ensure your emails don't land in the spam folder.

  2. 2

    Set your sender information

In RogMail → Settings, configure your From Name (e.g., "Haley Marketing") and From Email (e.g., newsletter@youragency.com).

  3. 3

    Configure your email footer

Set up your company name, website URL, logo, and physical address.

Including a physical mailing address in your email footer is legally required by CAN-SPAM regulations. RogMail automatically includes a mandatory unsubscribe link in every email and processes opt-outs immediately.

Step 3: Automate Content with AI

You don't have to write your newsletters from scratch. Genius Mode uses your established marketing strategy to automatically generate highly relevant email content.

When generating content, the AI reviews your:

  • Active Goals: What you're trying to achieve (e.g., lead generation).

  • Quarterly Plan: Your current topic priorities.

  • Target Audiences: The specific pain points of the people on your Lead Lists.

Because the AI is tied directly to your Strategy settings, the content it drafts for your RogMail campaigns is always on-brand and strategically aligned. You simply review and approve the content before it gets scheduled for delivery.

Step 4: Track Performance

Once your automated emails start sending, you can track their success alongside your other marketing efforts.

Navigate to Performance → Analytics to see a unified view of your marketing data. Here you can track:

  • Email Engagement: Open rates, click rates, and unsubscribes directly from RogMail.

  • Traffic Impact: How many website sessions and pageviews resulted from your email campaigns (requires Google Analytics integration).

  • Content Effectiveness: Which specific newsletter topics drove the highest time-on-page and lowest bounce rates.

Use the date range picker and filter by Content type (Email) to isolate your newsletter performance from your blog and social media metrics.

Frequently Asked Questions

Do I need a separate email tool like Mailchimp?

No. RogMail handles everything from list management and email delivery to analytics and unsubscribe compliance. You don't need a third-party platform unless you prefer to use one.

Where does the Lead List data come from?

Lead data is sourced through our integrated data providers and is based on publicly available business information. The specific data sources and list size limits depend on your subscription plan.

How does Genius Mode decide what to write about?

It uses your quarterly strategy priorities, audience profiles, competitive landscape, recent content history (to avoid repetition), and any context documents you've provided. It makes decisions much like an experienced content strategist would.

What happens when someone unsubscribes?

They are immediately marked as opted-out in your subscriber list and will not receive future emails. This is handled entirely automatically by RogMail.
