Workspace & User Management Managing User Profiles and Sessions

Learn how to manage your user profile, understand your workspace access, and navigate authentication settings within the platform. Whether you are an agency owner managing multiple clients or an external collaborator invited to a specific project, your session is automatically tailored to your role.

Authentication and Security

Your account is protected by industry-standard security measures to ensure your data remains safe.

  • Standard Login: Access your account using your registered email and password.

  • Single Sign-On (SSO): You can connect external accounts (like Microsoft) to log in quickly without remembering another password.

  • Account Lockouts: For your protection, accounts are temporarily locked after multiple failed login attempts.

  • Trusted Devices: You can designate specific devices as "trusted" to bypass Multi-Factor Authentication (MFA) on your primary machines.

Password Recovery
If you forget your password, you can easily reset it from the login screen. A secure recovery link will be sent to your registered email address.

Understanding Your Workspace

When you log in, the platform automatically routes you to the correct dashboard based on your account type and permissions.

Agency vs. Client-Scoped Access

The system distinguishes between internal agency staff and external collaborators to ensure everyone only sees what they are supposed to see.

Agency Staff

If you hold an Admin, Owner, Editor, or Approver role on an agency account, you will land on the main Agency Dashboard. You have full visibility to switch between all clients managed by your agency.

Client-Scoped Collaborators

If you are an external contractor or client invited to specific projects, you are considered "client-scoped." You will bypass the agency dashboard entirely and only see the specific workspaces you were invited to.

Here is how the platform determines what you see when you log in:

flowchart TD
    A[User Logs In] --> B{"Are you Agency Staff?\n(Admin/Owner/Editor)"}
    B -- "Yes" --> C["Agency Dashboard\n(Access to all clients)"]
    B -- "No" --> D{"Invited to specific clients?"}
    D -- "Yes" --> E["Client-Scoped Workspace\n(Limited view)"]
    D -- "No" --> F["Standard Company Workspace"]

Roles and Permissions

Your ability to view, edit, or approve content depends on the role assigned to you within a specific account or client team.

RoleAccess LevelCan Approve Content?
Owner / AdminFull access to settings, billing, and team management.Yes
EditorCan create, edit, and manage content and projects.Yes
ApproverFocused on reviewing and approving finalized content.Yes
ViewerRead-only access to dashboards and reports.No
AnalystAccess to reporting and data exports.No

Role Flexibility
You might have different roles across different workspaces. For example, you could be an Admin on your primary company account, but only a Viewer on a partner's client account.

Managing Your Profile

While navigating your workspace, you can manage several aspects of your personal profile:

  1. 1

    Update Personal Details

    Keep your first and last name up to date so your team knows who is making changes. Your full name is displayed across support tickets, project memberships, and audit logs.

  2. 2

    Manage Social Connections

    Link your social media accounts to streamline content publishing directly from your dashboard.

  3. 3

    Configure Notifications

    Adjust your notification settings to control how and when you receive alerts about project updates, content approvals, and team mentions.

Advanced Administration

For system administrators, the platform includes advanced tools for managing the broader ecosystem.

Super Admin Capabilities

Super Admins have system-wide access to help support users and maintain the platform. If you are a Super Admin, you have access to additional permissions, including:

  • Inviting new users and managing subscriptions.

  • Managing both Agency and Company accounts.

  • Viewing system-wide audit logs and billing data.

  • Impersonating users to troubleshoot issues directly from their perspective.

Tester Accounts

If your account is flagged as a "Tester," this status automatically syncs to all workspaces you belong to. This is primarily used by internal teams to safely test new features before they are released to the general public.
