Workspace & User Management Managing Company Workspaces

Company workspaces are dedicated hubs for each of the end-customers or brands your agency manages. Every workspace operates independently, housing its own unique contacts, brand voices, content strategies, and integrations.

This guide covers how to set up, organize, and configure these workspaces so your team can seamlessly manage multiple clients from a single dashboard.

Creating a new workspace

When you bring a new client on board, the first step is to create a dedicated workspace for them.

  1. 1

    Enter basic details

Provide the company's Name, Industry, and Website. Providing an accurate website URL is highly recommended, as it powers many of the automated research tools.

  2. 2

    Assign a status

Workspaces default to an Active status, but you can also categorize them as Onboarding, Inactive, or Churned to keep your agency dashboard organized.

  3. 3

    Save and initialize

Once created, the platform immediately begins working behind the scenes to set up the workspace (see the automated setup section below).

Website URLs must be unique. You cannot create multiple workspaces with the exact same website URL within your agency account, unless you are specifically duplicating a template profile.

The automated setup process

To save you hours of manual research, creating a workspace triggers a series of automated background tasks.

Here is exactly what happens when you hit save:

  • Setup & Research: The system automatically scans the provided website to build an initial company summary and syncs social media profiles (like NetSocial).

  • Content DNA: The platform's intelligence engine activates and prepares to learn the client's unique brand voice based on the content you approve.

  • Handwritten Automation: If configured, the system can automatically trigger personalized physical greeting cards to the client's primary contact to welcome them to your agency.

  • Evaluation Scheduling: The workspace is automatically placed on a 90-day evaluation cycle. This ensures you are prompted to review and refresh the client's strategy and onboarding data every quarter.

Managing your team and contacts

A workspace is only as good as the people collaborating inside it. You can tightly control who has access and what their responsibilities are.

Agency team members

You can assign specific staff from your agency to a workspace.

  • Primary Team Member: Usually the Account Manager or lead strategist responsible for the client.

  • Content Approvers: Specific team members who are granted permission to review and approve scheduled content before it goes live.

Client contacts

These are the people who work at the end-customer's company. You should always designate one person as the Primary Contact. This is the individual who will receive automated communications, reporting, and (if applicable) physical mailers.

Workspace settings and features

Once a workspace is active, you can configure several client-specific settings to tailor the experience.

FeatureDescription
Default Brand VoiceSet a primary tone and style guide that AI agents will default to when generating content for this specific company.
Publishing WorkflowsToggle whether scheduled content requires manual approval before publishing, or if it can auto-publish directly to connected platforms (like WordPress).
Email NotificationsEnable or disable system notifications regarding brand identity updates for the workspace.
TalentScribeIf enabled, you can manage automated content generation schedules tailored to the client's hiring or marketing needs.
Can I link a workspace to a separate billing account?

Yes. Agencies can provision child "Company Workspaces" that act as separate billing entities or BrandIQ workspaces. The system will automatically link these child accounts to the workspace profile using the company's website URL or name.

What happens if a client changes their company name?

If you update a workspace's company name, the system will automatically attempt to resync their connected WordPress site URLs to ensure publishing paths remain unbroken.

What is a 'Template Profile'?

If you serve many clients in the exact same niche, you can create a template workspace. When onboarding a new client, you can duplicate this template to instantly copy over predefined settings, saving you from starting from scratch.
